Presentation Prep

The one factor I’ve found to have the greatest impact on the quality of my presentation is how prepared I am. I have a routine:

A&S-SpeakerPrepDocument the desired result or outcome for the presentation, whether it’s my own self-produced event or for a client.
Understand the demographics of the target audience, identify their “tribal lingo” as it relates to my topic and adjust my presentation accordingly; this includes any examples or case studies.

Document all assumptions (I have a master list I work from, much like experienced travelers use when packing for a long trip) and review with the event organizer, e.g., podium, technology, audio, food, timing, handouts, logistics, seeing the meeting space.

Get familiar with the environment I’m going to be working in. Sometimes that means traveling for hours to get to a site and finding a comfortable place in the room, sometimes it involves asking for changes by the event organizer — lights, lectern, a clock I can see, microphones, aisles that allow me to walk around in the audience, etc.

Most Critical Step ~ Practice. Then practice some more. Then more. Go through three dry runs out loud from beginning to end in the actual environment (if possible, if not find some place close, even if you have to use a room in your house), and time yourself.

Buy a Wall Street Journal on the day of the event, find an article related to your topic — there will ALWAYS be one — and use it as a prop during your presentation.

Here’s the Trick to Removing ‘Like’ and ‘Um’ From Your Vocabulary

Recently I attended a training course in New York City and at the start of the course each of us introduced ourselves.

The senior executive sitting next to me said, and I quote, “I, like, work for a big bank, like, Citibank. I work, um, in technology, and head-up a group of like, 500 people, right. I do, like, technology risk assessment, right, and create, um, processes, to, like, reduce risk, right.”

“Like,” “Um,” and “Ah” are credibility killers ~ He was a business professional, a senior director at a major organization, and yet he sounded more like a valley girl. His speech was so infected with “like,” “right,” and “um” that the message was muddled and he significantly diminished his credibility.

These “credibility killers” – fluency disruptions – communicate doubt, especially at the end of a phrase. When he was talking, I found myself thinking, “Doesn’t he know how exactly many people work for him? Does he work for Citibank, or does he really work somewhere else?”

What are disfluencies? ~ Disfluencies, in general, weaken messages. They’re distracting for your listeners and they make you sound bad.

In the first 30 seconds I counted four “likes” and three “rights” and two “ums.” Worse, I’m certain that Tom had no idea that his speech was infected with these verbal viruses. In his defense, credibility killers (e.g. like, so, you know, right, uh, ah) are actually really common in everyday conversation. Researchers say that about 20% of “words” in everyday conversation are disfluencies.

In fact, people around the world fill pauses in their own way. In Britain they say “uh,” Hebrew speakers say “ehhh,” the Turks say “mmmmm.” The Japanese say “eto” (eh-to) and “ano” (ah-no), Spanish speakers “esto,” and Mandarin speakers “neige” (NEH-guh) and “jiege” (JEH-guh). In Dutch and German it’s “uh, um, mmm.” In Swedish it’s “eh, ah, aah, m, mm, hmm, ooh, a and oh” (man, this is starting to sound x-rated podcast, I’d better stop, I think you have the idea!)

As a communication coach, I notice disfluencies the most when people are nervous; for some people it’s the only time these little buggers show up.

So today’s article is about what can you do to boost your immunity to these viruses. Its about how you can reduce disfluencies. Notice I didn’t say get rid of them all together. Reduction, versus complete elimination, should be your goal.

The first and most important step towards more fluent speaking is to become aware of your distracting speech habits.The fastest way to find out if you have trouble in this area is to ask a close trusted friend (or public speaking coach, hint, hint).

stop-saying-umAnyway, perhaps the BEST way is to record yourself. If you are comfortable with technology I suggest using free audio editing software (Garageband on mac and Audacity for PC). With this software you actually see your words in audio format. For a more simplistic solution try Utterz.com — you can just call a phone number and it will record your voice.

Once you’ve got some sample recordings, the next step is play back your recordings several times. Listen specifically for your disfluences — go ahead and make of game of it. First just list them and then start counting them. If you are counting past three or four, you’ll know you have a problem.

Focus on listening to yourself talk ~ If recording seems like too much effort, just focus, for one full week, on listening, really listening carefully for distracters when you talk. Some experts like to suggest you put tiny “um” and “ah” stickers on your computer or cell phone to remind you to be listening.

Trust me, after a week of listening, or recording and listening, you’ll have become acutely aware of your specific problems. And that’s exactly what you need; awareness. You need to be able to hear your disfluencies in your mind before you blurt them out.

How to reduce your credibility killers ~ If you’ve done your homework you’ll know when one of your credibility killers is just about to escape from your mouth. Then, all you’ll need to do is to keep quiet. I know, easier said than done. At first you’ll have awkward pauses in your speech, but that’s still better, actually far better, than speech peppered with “likes” and “ums.” Eventually the pauses get shorter. With time, you’ll be more fluent and have fewer “ums” and “ahs.”

So the next time you introduce yourself, be warned, somebody sitting next to you might just be counting your “ums”, “ahs,” and “you knows”. Don’t let your disfluencies kill your credibility. It really is worth it to take some time to focus on this. It can make a big difference in how you’re perceived.

When Ideas Run Dry, But The Blog Deadline Beckons

A well-written and regularly updated blog is a great marketing tool for variety of reasons.

A blog drives people to your website, helps you build your personal or company brand, and allows you to develop a relationship with customers or readers.

A&SIdeasRunDryBut let’s face it, the blog that you vowed to update every two or three weeks can seem like another mind-numbing chore as time passes and your enthusiasm wanes.

What’s worse is that, pretty soon, you start running out of material. After all, you already covered everything obvious and worthwhile, right? What’s left to write about?

Plenty, as it turns out. You just need to put yourself in a position to attract great ideas and snag them as they whiz by. Let me nudge you in a few directions that should help feed the blog beast that haunts your doorstep every couple of weeks or so.

One thing we do regularly at EMSI, and you should, too, is follow the daily news to see what’s creating a stir nationally, internationally or within your industry. For example, the debate over whether the mountain in Alaska should be called Denali or Mt. McKinley could be fodder for someone who blogs about mountain climbing, the outdoors or, perhaps, presidential history.

You also should check social media to see what topics have people the most excited. Twitter and Facebook track trending topics that are generating a lot of buzz, and those could provide jumping off points for your next blog entry.

I would also suggest that stealing from yourself is perfectly acceptable. Revisit old ideas from blogs past, but give them a fresh approach. Even newspapers and magazines will resurrect topics they previously wrote about, wagering that few readers will care or recall that the same subject was explored two or three years ago. You can do the same.

And remember, there’s no need to wait until the last minute to start formulating ideas. Keep an ongoing list, adding to it whenever a topic pops into your head.

Once you decide on a topic, here are a few tips for fleshing it out into a quality blog entry and for attracting the greatest number of readers:

Online searches are your friends. Background information about your topic is just a search phrase away using Google or another search engine. Look for real-life examples or recent news on your subject to add depth and reinforce your point of view. Just make sure your sources are legitimate. You will want to cite those sources, too, because that will add to the credibility of your post.

BLOGcartoonStatistics, studies and surveys. Specific numbers and recent studies also bolster the points you want to make. You could, for instance, write that “there are a lot of libraries in the U.S.” But it’s less vague and more impressive to write: “The American Library Association estimates there are 119,729 libraries in the U.S.” While you can often track down surveys, studies and data with a general Google search, you also can zero in on specific websites. For example, if you are writing about a medical topic, the Centers for Disease Control provides numerous statistics about how many people suffer from various maladies.

Integrate SEO keywords. People search the Internet using keywords or phrases they hope will uncover articles or websites with the information they want. The more you understand which keywords could bring the highest amount of traffic to you, the better, so research what might work best. You can integrate those keywords into a headline or the body of the blog entry. Keywords shouldn’t be too generic, though, or else your blog will be lost in a blizzard of other blogs, websites and news articles that use the same words.

Coming up with and carrying out great blog ideas on a regular basis certainly presents a challenge, but not an insurmountable one.

How do I know? I’m always on the lookout for ideas myself. For example, at EMSI we noticed that many bloggers were on the Internet discussing the struggles they have generating ideas.

Why Is My Book Getting No Attention

Have you written a great book, but it seems no one beyond your mother and your spouse is interested in it?

You may have one of two problems; or both of them:

1. Your book has wonderful information, or a compelling story, but it lacks a professional polish. If it’s not well organized or written with clear, precise language, it may be hard to read.

A&S-NoATTENTION2. The people who might love your book aren’t aware it exists. Having a website (which is a must) isn’t enough. If you’re not actively engaged in driving people to it, they’re not likely to find it and learn about your book.

Fortunately, both problems have solutions.

First, the writing. If you didn’t have an extensive writing background before tackling your book, and you didn’t have help from a good, professional editor, that could be hurting you. You might want to consider hiring a ghostwriter to revise it.

Ghostwriters provide an array of services, from turning your two-sentence idea into a 150-page book, to sharing writing tasks with you, to editing and polishing what you’ve written. Many, many books being sold today were helped along by ghostwriters, although you’d never know it; their names often don’t show up anywhere on or in the book.

Entrepreneurs and professionals who plan to use their book as a marketing tool can simply hand the job over to the writer. A good ghostwriter can even give you smart suggestions for topics that will work well for you at any particular point in time. And the two of you can collaborate on the content.

Unfortunately, ghostwriting is not a licensed profession; anyone can advertise their services. So, when you’re looking to hire, do your homework. The best way to find a good ghostwriter is through referrals. But you can also find prospects at elance.com or guru.com. Ask about experience and check references. Ask their previous clients how satisfied they were with communications and their end product.

If you’re a professional who intends to elevate your stature; and, ultimately, build customer prospects; with your book, it’s important to hire someone with a strong track record in that area. If you’re a novelist looking for help refining your story, of course, you’ll want someone who has written novels.

For nonfiction books, expect to invest time in answering the writer’s questions. In order for him (or her) to do a great job, he needs to understand who your target audience is and what their needs, problems, concerns and fears are. Once he knows these, he can gather the information necessary to write with them in mind.

And that leads to problem No. 2, marketing. This is such a challenge for writers, I’m making it the focus of my presentation this weekend at the 2012 Northwest BookFest in Seattle.

Too often, writers become so focused on getting their book written, they forget the critical second part of their job: telling people about it.

Some are so confident their book will take off after a few people have read it, they feel they don’t need to worry about marketing. That’s like buying a million-dollar house because you just know you’re going to hit the lottery. Yes, people win lottery jackpots. And yes, books become surprise best-sellers. But no, you shouldn’t bet the farm on either happening.

So while you’re thinking about the audience for your book, think about the marketing messages that will appeal to them. How can you reach them to let them know there’s a new book out there?

Consider these questions:

What will be the best channels for reaching my audience? You might consider doing speaking engagements, or sending pitches to journalists and talk show hosts who would use you as a source of information. You might hire a publicist, contract with your publisher, or put together a book-signing tour. Research the options that appeal to you, including how effective they’ll be in terms of meeting your goals.

How much will it cost? Some options are less expensive, others more. Look into the prices and decide how much you can afford to spend. How much of the work can you handle yourself? Even if you hire a publicist to help, you should plan to invest your own time and energy. To get the best results possible, being active and engaged in your marketing campaign is essential.

Can social media help you spread the word? Actively posting and engaging in conversations on Facebook, Twitter and other social media sites are a great way to build your visibility. The more of a following you have, the more potential audience you’ve created for your marketing message. But remember, “buy my book” posts won’t win you any followers; you need to provide informative and/or entertaining content related to your book.

Remember, it all starts with a well-written and professionally published book. Without a quality product, your marketing efforts are likely to fall flat.

Likewise, your book; no matter how beautiful and polished; won’t go far if people dont know who YOU are.

The Importance of the Pause When Speaking

One of the first lessons I learned as a professional speaker was to pause for effect. Learn to use your voice to create impact, suspense and credibility when speaking. Without the pause a speaker’s ideas and messages might even be lost as a result. It’s a signal to our audience that we are moving to a new point. I also use the pause when I move from one main point of my speech to another. It’s important to speak at a reasonable pace – not too fast for the audience to absorb our message, but at the same time, not too slowly as to bore our audience, and cause them to mentally go south.

Keep in mind the pause should be long enough to build suspense. Keep eye contact with your audience to signal that this pause is intentional. You can also use the pause to gain the attention of your audience, by pausing intentionally before you say something important. Comedians are masters of the pause. They often use the pause very effectively just before the deliver the punch line. If you’re using humor in your speech, the timing of your pause is everything.

A&S-PauseMany inexperienced speakers make the mistake of memorizing their speeches word-for-word and then reciting them as quickly as possible, without stopping even to take a breath. An experienced speaker knows to pause periodically to give the audience time to “catch up,” and to allow the meaning of what he or she is saying to sink in.

My friend, Patricia Fripp, CSP, CPAE, interviewed her friend and fellow speech coach, Ron Arden. He shared this helpful explanation of nine types of pauses and how and when to use them.

Powerful and persuasive presenters recognize the importance of the pause. Alan Alda says, “It is the stuff between the lines that makes it a great performance.”

Your message is not simply conveyed by your words, but also by your pauses. A pause isn’t a moment of “nothing.” Used strategically, it is a tool to help you build intellectual and emotional connection with your audience. When you pause, you give your audience time to process what you have just said. A pause allows your listeners to stay engaged and enables them to follow what comes next. If you tend to speak rapidly, it is even more important to allow adequate time for pauses.

Imagine where you would have a comma, period, paragraph, an exclamation point, an underline, or ellipses if your talk were written out. Use this as a guide for pauses.

1. Sense Pause

The sense pause is roughly where a comma would be in writing, but occurs about twice as frequently. This pause is more frequent than the comma because, in writing if your audience cannot understand something they can re-read it. Since this isn’t possible in speaking, you must allow time for your audience to understand. This is a way of grouping words in small “parcels” so they audience can keep up with what you are saying. This pause usually lasts one-half to one second.

2. Transition Pause

The transition pause is approximately where a period would be in writing. It separates one thought from another. Many speakers are unaware that they are speaking in run-on sentences. Audiences are not able to process rapid speech as well as we might think they can, especially if the content is unusual, emotional, poetic, dramatic, or new to the audience. This pause lasts between one and two seconds.

3. Dramatic Pause

A dramatic pause is a pause is used to set up and spotlight what you will say next. For example, “Do you know what happened?”… (pause)… (pause)… (pause)… This heightens tension in your narrative and gets the audience involved. You have to earn a dramatic pause, by following it with a statement that rewards your audience for following along with you. A dramatic pause can be anywhere from three – seven seconds.

4. Reflective Pause

A reflective pause gives your audience time to reflect. Complex or unusual statements need to be followed by time for reflection. This type of pause indicates to your audience, “I want you to think about that…” “I’ve left a space for you to think…” A reflective pause can last from three to seven seconds.

5. Pause for Effect

A pause for effect is shorter, usually one to two seconds. It creates the feeling that something is going to happen and lets words hang in the air so the audience can play with them in their minds.

These last four are advanced uses of the pause you can implement to add finesse to your public speaking.

6. Spontaneity Pause

This pause creates the feeling of spontaneity. This is a technique that conveys you are thinking about your words as you are speaking and not simply reciting something you have said many times before. This will keep you and your audience members interested, even if you are very familiar with what you are saying.

7. Pause to Relinquish Control

This is particularly useful in Q & A situations. When responding to a question, is easy to fall into the trap of rambling, repeating yourself, and weakening your response. Nail your response to the question and then pause to indicate your are finished speaking.

8. Sensory Pause

Use this to support a description that appeals to the senses. For example, “A beautiful warm afternoon… (pause) ….imagine it… (pause) …willows softly rustling in the breeze… (pause) …birds chirping in the trees… (pause) …sitting with a cool glass of lemonade in your hand… (pause). Create heightened feeling in your audience by pausing to allow their senses to take hold.

9. Pause for Emphasis

The enemy of the speaker is sameness. An audience will get bored if they feel like you are saying thing over and over again, even if you are not. Use pauses to delineate your key points. Keep your presentation dynamic so your audience does not get lulled to sleep. Use pauses to change gears.

Remember, a speech is not a monologue unless your audience is asleep or dead. A speech is a dialogue between your words and each audience member’s inner dialogue. Pauses allow your audience members to mentally interact with your words. A skilled speaker will often engage their audience more with their pauses than with their speaking.

5 Rarely Discussed Self-Publishing Mistakes!

1. Don’t self-publish your first draft: If you listen carefully, you can hear the sound of a self-published author banging his head on his desk. It happens every few seconds. Listen very, very carefully. There’s another bang. He thought the book was genius when he clicked publish and he had even “spell-checked” the manuscript beforehand, but now the Amazon reviewers are saying some really nasty things about his book.

A&S-MistakesThings like, “I couldn’t get past the first chapter because of all the errors” and “This was obviously self-published…” Don’t be that guy. Fine-tune your manuscript by going through at least one round of revisions and self-editing and then hire a professional editor to bring a different perspective to the project. To paraphrase Ernest Hemingway: The first draft of anything is crap. Don’t publish crap.

2. Don’t overprice your book: I’m really surprised that more authors aren’t discussing this. I’ve seen multitudes of authors trying to sell their books at exorbitant prices. You need to think as the consumer. Why would a customer pay $30 for your paperback book instead of $12.99 for a NY Times bestseller? Or $9.99 for your ebook instead of $6.99 for Stephen King? They probably won’t! Try enticing the customer with a competitive (or discounted) price and watch what happens.

3. Don’t count on sales at brick-and-mortar bookstores: It’s true that many indie bookstores will happily stock your self-published print book. Some of them will work out consignment deals with you. From my experience, they’ll want around 40%. Major chains will want at least 50% and you’ll generally need to go through layers of bureaucracy in order to get your book stocked.

You’ll also need to take the risk of making your book “returnable.” As you can imagine, this could get ugly very quickly. For those reasons and many others, I advise self-publishing authors to focus primarily on online sales. Your profit margins will increase and you’ll be able to cover a ton of ground much more quickly.

4. Don’t think that just having an online presence is enough: “I’m on Facebook,” says almost every self-published author. “I’m on Twitter. I’m on Pinterest. I have a blog. I have a website…” This is all very nice, but it’s not enough to simply have an online presence. You need to be active on all of your platforms. In other words, you can’t just “set it and forget it.” Treat your online presence as you would your own home. Care for it, live in it, and love it.

mistakes5. Don’t expect that strangers will automatically care about your book: I have to admit that when I first started self-publishing, I thought everyone needed my book. Everyone. My inspirational book could motivate and change lives. I knew it. But no one cared at first (aside from friends and family, of course). I had to make them care. I accomplished this by – wait for it – networking! I created Facebook groups (and even Myspace groups; remember Myspace?).

I befriended book lovers on Facebook. I reached out to fellow writers by email and met them in person at signings and other events. Most importantly, I made good impressions on those people and most of them supported me by helping spread the word. I know this isn’t fun or sexy advice. Many self-publishing authors looking for advice don’t want to hear that this ride could be a long one. Throw away the idea of “quick and easy” and focus on building relationships!

Get The Word Out

The timing of news release actions initially depend on when the books are actually available so you can provide them to the interested media. You can provide galleys, advance review copies, finished books, or new editions.

For your normal book publicity campaign cycle there are five major periods of opportunities:

A&S-GetTheWordOut1. Pre-publication reviews (one dozen galleys needed) – four to six months before book publication.

2. Magazines (100 to 300 advance review copies needed – four to six months before media and book publication) for reviews and feature stories.

3. Publication Announcement Releases – (magazines, daily & weekly newspapers, news services & syndicates) for reviews and feature stories.

4. Post Publication Publicity (all the above plus radio & TV) – more reviews, interviews, and feature stories.

5. Event publicity (newspapers, radio and TV, anytime any place, 20 days lead time needed). Awards, book signings, speaking engagements, workshops, and community activities.

No matter what you do, you should not do publicity unless the business system is in place which allows you to generate income from these activities. Without it being in place, publicity can’t bring you any income, since no one can buy books.

Book publicity per se is one way to go when sending out news releases. The other way to build and implement a publicity plan is to work on personal branding and expert or human interest articles. Here the individual product doesn’t matter.

Your goal is to receive coverage that demonstrates your expertise in a way that results in people wanting everything you offer, no matter what it is. This can be done anytime.

No matter what sort of “news release you choose”, remember that you have to provide what media want the most, which is a proper answer to the question, “What’s in it for my audience”.

You Say You’re An Author, Not A Marketer? Think Again

Sometimes I speak to authors who finally have a book ready for publication after months or years of hard work, yet sadly, in all that time, they neglected to give any thought to a key reality of the book-publishing world.

The responsibility for marketing the book falls on their shoulders and they should have had a promotional plan in place ready to go when the book was launched.

A&SmarketingWhen I point that out, they respond by saying, “But, I’m an author, not a marketer!”

If you are thinking the same thing, it’s time for a quick adjustment in your mindset. Because you have to be both!

If you want your book to have a chance at succeeding, this is on you.

Happily, today there are more ways than ever to market your book (or business, for that matter) and social media marketing should be one of the key components in your promotional plan. Social media provides a number of effective tools that allow you to connect with people who share your passion for the topic you wrote about.

Some of you may be saying, “But I have no interest in social media. I hate the idea of posting on Twitter or sharing my thoughts and pictures on Facebook.”

I get what you’re saying! Like it or not, though, your personal feelings are beside the point. Whether you are a fan of social media doesn’t matter. Whether you believe too much time is wasted on sending out tweets or liking things on Facebook also is irrelevant.

The reality is what it is. You need to recognize its importance or risk falling by the wayside.

I encountered yet another reminder of how crucial it is to establish yourself in the social media world just a few days ago when I had a conversation with an agent friend of mine. She had put together a TV treatment for a client with several novels she thought could be adapted to a series for the small screen.

The feedback she got was predictable – the author needed to have a significant following on social media before the studios would even look at the treatment.

So what’s considered significant? Good question. A number we’ve heard from agents and publishers alike is a minimum of 10,000 followers.

But it’s not only about the numbers. They are meaningful, but just as important for building your online brand is having a large following that you are engaged with. You post a tweet and some of your followers respond with a question. You answer the question and get more comments or questions.

The more active you engage your followers, the better.

Here are a few other marketing tips to remember:

Don’t buy fake followers. Yes, you really can buy fake followers on social media, but why would you? These are not people you can interact with or who have the potential to become future readers or customers. Buying fake followers pads your numbers, but it’s a pointless charade and eventually you will be found out. When that happens, your reputation will take a hit.

Take advantage of groups and lists. One great thing about social media sites is they give you the ability to connect with like-minded people, many of whom may be future customers. LinkedIn, for example, has groups you can join. On Twitter, it is lists. Either way, these features help you connect with people most likely to have an interest in what you have to offer. It’s also good to connect with the well-known people in your field, because if you can get those people to follow you, some of their following may follow you too. This is a legitimate way to ratchet up your numbers.

Don’t abandon traditional media. As wonderful as social media sites are, you don’t want to ignore radio, TV and editorial coverage in print publications and online. These venues are extremely important in helping you build your brand and boost your numbers.
Setting words down on paper – or more likely a computer screen – and ending up with a book is a wonderful accomplishment.

But to avoid staring at a stack of unsold books, you will need to doff your writer’s hat and don your marketing cap. If you don’t feel qualified or have the time to tackle that on your own, you need to find someone to help. Here’s to dual roles.
